PROPERTY ADMINISTRATOR AND PROFESSIONAL ASSISTANT TO DIRECTORS

Our award-winning team has an opportunity for a Property Administrator and Professional Assistant.

The Role:

An exciting opportunity has arisen for an experienced and highly capable Property Administrator and Professional Assistant to provide confidential and comprehensive administrative support to two Directors. This is a key role that requires discretion, efficiency, and the ability to communicate professionally and confidently at all times, both verbally and in writing.

The ideal candidate will be proactive, detail-oriented, and experienced in managing the daily operations of a professional office environment.

Responsibilities include:

  • Managing complex diaries and schedules for two Directors
  • Preparing a range of correspondence and reports, including letters, reports, and documents dictated via audio files
  • Obtaining electronic signatures on documents using digital platforms
  • Ensuring compliance procedures are followed, including collecting and verifying client identification
  • Liaising with external service providers and suppliers as required
  • Assisting in coordinating appointments, inspections, and meetings with clients and third parties
  • Maintaining and updating internal databases and filing systems
  • Supporting onboarding of new clients and file management
  • Managing office supplies and placing orders for general office requirements
  • Coordinating maintenance and support services related to the office premises
  • Acting as a key contact for IT support and system updates
  • Logging and tracking professional development and travel expenses for two Directors

The successful candidate will have/be:

  • Preferably similar Property Administrator/PA role and property related industry
  • Excellent written English with strong spelling and grammar
  • Fast and accurate typing skills, including audio transcription using Dictaphone or similar tools
  • A confident, professional demeanour with a smart and presentable appearance
  • A polished and articulate telephone manner
  • Outstanding organisational skills and the ability to manage multiple tasks and deadlines
  • Strong proficiency in Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Familiarity with CRM systems or database software is an advantage (training will be provided)
  • Willingness to adopt new technologies, including AI tools, and support their implementation in office systems
  • A collaborative team player with a positive, can-do attitude
  • Full UK Driving Licence

Hours:         Permanent full-time Monday – Friday, 9am – 5.30pm

Salary:        Competitive (depending on experience), plus discretionary bonus scheme
